Register for ESWW2023 and its satellite events

 

The registration for the ESWW 2023 and its satellite events (E-SWAN school, Mini-ISWAT, and E-SWAN Sustainability Workshop) is now open and must be done exclusively online through the ESWW2023 registration system. You can pay instantly using your credit card or may choose to pay via bank transfer. The whole payment and registration process is easy to use, secure, and can be completed in a few minutes.

The event is fully hybrid, you can attend either in person or remotely. 

The registration fees for ESWW 2023 are given below and are expressed with VAT. All payments must be made in Euros in accordance with European legislation.

If you have already submitted a session proposal or an abstract to ESSW2023: then you already have login credentials that were sent to you by email. You should select Yes to the question Did you already submit an idea, abstract or are you already registered for the conference? and use  your login details to access the registration form (the registration number you were given is your password). Once you are logged in please select the Edit my conference options  in order to access the full registration form through which you can select social events, satellite events, etc…

If you have not submitted anything yet to ESWW2023: please enter your details in the registration form and during the registration process the system will automatically create your login credentials. You will automatically see the full registration form through which you can select social events, satellite events, etc…

Membership to E-SWAN: if you register to the ESWW 2023 you will be offered a free complementary membership to E-SWAN valid for one  year  (please select that you accept this offer in the registration form). This automatically activates preferential rates for the satellite events during the registration process. We will communicate the list of all participants who accepted their membership to E-SWAN which will then issue a voucher code that you can use to complete your membership on the E-SWAN website. If you are already a member of E-SWAN  please select the appropriate area in the ESWW2023 registration form.

Student discount: registration fee applies to students (BSc, MSc, PhD).

Other discount: registration fee applies to retirees, emeritus, and participants from DAC-listed countries.

Conference dinner: registration to the ESWW2023 includes the gala dinner on Thursday evening. The registration form offers you the opportunity to declare any dietary requirements you may have. If you plan to leave the conference before the gala dinner (for example to return to the US for Thanksgiving) you have the possibility to opt-out from the gala dinner and a discount is then applied to your registration fee (only visible once you proceed to final validation before your payment).

Registration to satellite events: this is done through the main ESWW2023 registration process where you can select the events you want to attend. Beware that the fees for the satellite events depend on your status (student or not), your participation at ESWW, and/or your affiliation to E-SWAN. For information on the Mini-ISWAT, E-SWAN school and the E-SWAN Sustainability Workshop please refer to the dedicated pages. The registration fees to these events are charged for in-person attendance in Toulouse, please contact the organisers of these satellite events to obtain information on possible remote participation.

Late in-person registration can be paid onsite for all events.

Sponsors: to become a sponsor please apply through the dedicated Sponsorship webpage. Once your application for sponsorship has been processed and the associated payments settled you will receive a special voucher code to use to waive your registration fees to ESWW2023.

Accompanying person: the fee for an accompanying person is 120 EUR and it includes the entire social program of the conference.  For details, contact the LOC at esww2023[at]gmail.com.

Financial Support: We offer financial support for participants to ESWW 2023 and the E-SWAN school in two ways:

• Financial support will be provided to a maximum of 5 participants from the DAC-listed countries (registration and/or accommodation): deadline for application is 29th of June 2023. Please refer to the dedicated page: submit your application for financial support.
• We will provide free accommodation (8 nights maximum: from Thursday 16th of November to Friday 24th of November) to 20 students/young scientists who are selected to attend the E-SWAN school AND submit an abstract (oral or poster) to the ESWW 2023. To apply for this support, you need to apply to the first round of application to the E-SWAN school before 29th of June. Notification of acceptance of your application will be sent out during the first weeks of July.

 If you have applied for financial support to attend the ESWW and/or the E-SWAN school : please wait until you have been informed that your application has been selected by the selection committee before registering !

Processing of the registration: the coordination and organization of the payment process is processed by VertCom, and the final receipt is issued by CNRS where the money is received. There might be a delay of a day or two between the billing by VertCom and the issuance of the final receipt by CNRS, please contact us (secretary[at]esww2023.org) if you encounter delays greater than two days before reception of the final receipt.

Terms Of Sale

ART. 1 – GENERAL TERMS AND CONDITIONS: Attendees to the ESWW 2023 are willing to accept with no reserve the terms of the present rules and regulations of ESWW 2023 conference and the provisions of public law applicable to events organized in France. They shall accept all new measures generated by circumstances or for the event benefit that the organizer reserves the right to indicate, even orally.

ART. 2 – FEE RATES: All registration rates must be accompanied by payment. If payment is not provided, the registration will not be processed, and standard registration rates will apply. The deadline to register at the early bird rate is 13th of September (23:59 CEST). From the 14th of September 2023 to the 20th of October 2023 registration to ESWW 2023 is at the standard rate specified on the ESWW 2023 website. After 21st of October, in-person attendees will not be able to register online and must register on site at the Centre Baudis at the late registration fee. Virtual attendees can register online at the late registration fee from 21st October to 3rd of November.

ART. 3 – PAYMENT: Registration can be paid by credit card and wire transfer payments. The last day to submit payment via wire transfer or check is 3rd of November 2023.

ART. 4 – CANCELLATION: In case of cancellation by an attendee prior to 31^st of October 2023, the attendee can be reimbursed in full however the organizer will retain 11% processing fee of the invoice as compensation. No refunds will be issued for cancelled registrations or ticketed events after 3rd of November 2023. Due to the unpredictable circumstances, ESWW2023 may cancel the on-site part rather late and turn the conference into a fully online meeting. In such a case, attendees who acquired an on-site registration will be turned into a online registration and will get reimbursed for the difference in registration fees.

ART. 5 – REGISTRATION SUBSTITUTION: Substitutions are allowed at any time but must be requested in writing by the original registrant and emailed to the ESWW 2023 LOC: esww2023[at]gmail.com Partial substitutions are not allowed. Registrants must transfer their full registration to a new person. Member rates and promotional rates are not transferable from the original registrant to the substitute.

ART. 6 – REGISTRATION TYPE ADJUSTMENT: Attendees have the opportunity to adjust their registration type from in-person to online (or vice versa). Please contact the ESWW LOC : esww2023[at]gmail.com for assistance with adjusting your registration type. The deadline to make this adjustment is 10th of November 2023.

ART. 7 – DISPUTES: In case of dispute, only the Tribunals of Toulouse are competent.
